    How can SJSU students and staff contribute to ScholarWorks?

    Students can submit work to ScholarWorks only as part of a specific course or degree requirement that an SJSU faculty member sponsors. SJSU faculty members interested in sponsoring new collections of student work should contact ScholarWorks staff for more information at [email protected]

    How do I change the access permissions for my thesis?

    To change the access permissions, you will need to contact ScholarWorks at [email protected] or Graduate Studies Thesis at [email protected]

    Does having my thesis in ScholarWorks prevent me from publishing it as an article later?

    When you submit your thesis or capstone project, you will sign a non-exclusive license agreement. This means students retain full copyright to their work and remain free to revise, adapt, or publish the content in another form, e.g., a journal article. Depositing your thesis in ScholarWorks does not prevent you from doing so. However, a publication embargo is still often the practical safeguard against journals treating the ScholarWorks deposit as prior publication. The student should also review the journal’s specific policy or contact its editor before submitting the manuscript to the journal editors.

    How do I get my research publications available on ScholarWorks?

    The ScholarWorks team pulls publication metadata from Scopus. Afterward, we reach out to faculty and ask for the accepted manuscript version of each publication, so we can add full text to the Faculty RSCA collection. Publishers vary in which version of the manuscript is allowed — some permit the final published version (VOR), but many only allow the accepted manuscript.

    Faculty can also submit publications directly to ScholarWorks. For each one, we check Jisc Open Policy Finder and the publisher's guidelines to confirm what's allowed. Faculty are welcome to send us a CV or publication list to get started.

    What are the dataset size limits?

    As a general guideline, we recommend individual files be no larger than 1 GB, with the total dataset not exceeding 5 GB. Additionally, to ensure smooth operation in our digital repository, the number of files should be kept below 12.
